Organizing an air travel event by oneself and for oneself is a hassle; to do so for a group of people can be a nightmare. First and foremost is to have preset meeting locations and times that everyone can understand. To say meet in front of the International terminal between 8 and 9 AM can result in confusion; many airports have dozens of International airlines and your group may be scattered up and down the street. It is better to be specific and say meet on the sidewalk in front of the Air Canada terminal at 8:45 AM.

Limo Service

If going by air, what is the name of the limo or shuttle service being used, if any? Give the name of the company, the places and times of pickup, the telephone number of the company or contact person, and the services provided. Some people may need extra help or have sports or health equipment that takes extra room and the limo service will need to know this information in advance. Additionally, what is the payment arrangement with the limo service and who tips the limo driver are needed information.

Airport or Terminal

What is the name of the airport or terminal? Be specific as to the airport name and the terminal name in many of the larger cities like Los Angles have more than one airport.

Airline or Carrier

What is the name of the airline or carrier? Use both the full name of the airline and the abbreviated name; example UAL and United Air Lines. This is so you will be able to look up flight information on the terminal’s monitors, which frequently only have the abbreviated name specified.
